The client is looking for a proactive and detail-oriented Junior Operations Assistant to join their team. This is an excellent opportunity for someone who is eager to learn and grow within an administrative support role. You’ll be working closely with the client’s team to manage daily tasks, organize information, and ensure smooth operations across various projects. No prior experience is required, as the client is committed to providing full training and guidance to help you succeed in this role.
Location and Time:
Fully-Remote (Work from Home)
Work Hours: 9 AM - 5 PM EST
Role Overview:
As a Junior Operations Assistant, you will assist with managing daily tasks, categorizing accounts, tracking leads, and providing general administrative support to ensure smooth operations. This entry-level role is ideal for someone looking to learn and grow within the operations field. You’ll be trained and supported every step of the way.
Key Responsibilities:
Email and Lead Management:
Review incoming emails for potential leads or important updates.
Create and maintain a daily spreadsheet of emails with relevant information (e.g., date, contact name, brief summary, and attachments).
Flag emails related to active leads and notify the team for next steps.
Categorizing Accounts:
Organize and categorize client accounts by industry (e.g. restaurants, roofers) for easy access and follow-up.
Template and Snippet Management:
Create and organize TextExpander snippets for quick responses.
Help with managing ClipClip screenshots and incorporating images into templates.
Potential Management:
Assist in updating fields for potential leads based on instructions.
Add follow-up notes such as reminders to send emails to primary and secondary contacts.
USPS Leads:
Follow the provided instructions to manage and track USPS leads.
Research and Tool Assistance:
Follow-Up Checks:
Assist with checking emails for important updates (e.g., quotes, reports) and report findings to the team.
Update records for any missing categories or information.
General Administrative Support:
Organize files and folders, ensuring all documents are categorized and saved correctly in shared folders.
Assist with reviewing email templates and marketing sheets to provide feedback or improvements.
Qualifications:
Experience: 0-1 years in an administrative, operational, or support role (entry-level candidates are welcome to apply).
Skills:
Strong organizational skills and attention to detail.
Proficiency in basic office tools (Google Workspace, Microsoft Office).
Ability to learn quickly and follow instructions accurately.
Strong written and verbal communication skills.
Desirable:
Basic knowledge of tools likeOtter.ai, ClipClip, or similar platforms is a plus, but not required.
