The Role
Hone is looking for a People Operations Specialist to join our team. In this role, you will report to the Senior Manager of People Ops and you will be responsible for operational tasks including payroll processing, compensation management, benefits administration, reporting, policy updates and compliance, and employee records management. In addition, as a member of a small People Ops team in a dynamic, growing organization, you will have the opportunity to support with employee relations and engagement activities including hiring and onboarding, performance management, and culture-building initiatives.
Primary Responsibilities
Key responsibilities for this role include (but are not limited to) the following:
- Payroll Administration: Serve as the primary payroll administrator, responsible for all payroll-related tasks, adjustments and updates for a semi-monthly payroll cycle
- Benefits Administration: Process new hire benefit enrollments, changes, and terminations with service providers, as well as play a lead role in supporting the annual open enrollment process, employee communication and training, and audit support to ensure accuracy; support employee requests for assistance with claims and reimbursements
- Reporting: Serve as the People Ops team lead for data reporting, including regular payroll and benefits reports to ensure accuracy, and additional reports as requested by leadership
- Compensation: Support the People Ops team with processing compensation adjustments and research on market data
- Policy Updates & Compliance: Conduct I-9 verifications, e-verify processing, and support Senior Manager, People Ops with policy research
- Ensure required forms, notices, and annual reports are prepared in compliance with local, state, and federal regulations (including EEO-1, SPD, 5500, ACA)
- Recruiting & Onboarding: Support hiring managers with preparing and posting jobs in our ATS, Greenhouse; prepare offer letters for new hires; conduct background checks; serve as the liaison with our Tech Ops team on employee equipment provisioning; send employee welcome letters
- Offboarding: Serve as the liaison with our Tech Ops team on employee terminations, prepare offboarding letters for employees, handle administration of COBRA notifications with vendor and employees
- Training Compliance: Ensure employees are assigned appropriate and required trainings for their roles, follow-up to ensure completion as needed (includes preventing workplace harassment training, HIPAA training, job-specific training)
- Employee Records Compliance: Maintain accurate and up-to-date employee records and HR documentation while ensuring compliance with local, state, and federal employment laws and regulations
- Serve as main point of contact with accounting firm to resolve issues and answer questions
- Support the People Ops team with tasks related culture-building programs and periodic in-person retreats and strategy sessions
Qualifications
In order to qualify for this role, candidates must meet the following criteria:
- Ability to multitask, prioritize, and adhere to deadlines while maintaining attention to detail and quality
- Comfortable in a fast-paced, frequently changing environment
- Creative problem-solving skills with a results-driven mindset
- Can quickly learn new technology systems and communication tools
- Ability to work autonomously and collaboratively
- Must have at least 3 years experience processing payroll (within ADP WorkForce Now experience is a plus)
- Experience in a rapid-paced startup environment is preferred
- Familiarity with HRIS platforms and other relevant tools (e.g., applicant tracking systems, payroll software)
Compensation Range
$60,000-$70,000
