The Mission: AI-Driven Transformation

We are reimagining Business Systems as an AI-native function, embedding automation, intelligent workflows, and seamless system integrations into the core of Apollo’s operations. Inspired by industry leaders who have successfully leveraged AI for operational scale, our goal is to save every Apollo employee 10+ hours per week through AI-driven automation while building a seamless, scalable enterprise architecture.

As the VP of Business Systems & AI Transformation, you will be the architect of Apollo’s next-generation infrastructure, ensuring our core business processes, data systems, and enterprise applications are seamlessly integrated, AI-powered, and optimized for scale. This role reports directly to the CEO, giving you the opportunity to shape the company’s AI strategy at the highest level.

Key Responsibilities

  • AI-Driven Automation: Design and implement AI-native business systems that increase productivity, automate workflows, and drive efficiency across all departments.
  • Enterprise Architecture & Integrations: Architect a fully integrated, AI-powered business ecosystem, ensuring seamless connectivity between CRM, Data Warehouse, HRIS, CPQ/SKUs/Pricebook/Contract, Finance Planning, and more.
  • Process Optimization: Streamline critical business operations, eliminating inefficiencies and improving cross-functional execution.
  • AI Strategy & Execution: Identify opportunities for AI-powered transformation, embedding automation into day-to-day business processes.
  • Cross-Functional Alignment: Drive consensus across opinionated VPs and senior leadership to execute large-scale initiatives effectively.
  • Deep Technical Leadership: Be hands-on—dive deep into Salesforce, Workday, ERP systems, and write AI-driven prompts if needed.
  • Scalability & Compliance: Ensure Apollo’s systems scale efficiently, remain secure and compliant, and are future-proofed for long-term growth.

Key Outcomes & KPIs

Apollo becomes AI-native—each employee saves 10+ hours per week through automation.

Enterprise architecture is seamless, ensuring all key systems are fully integrated and optimized.

Business processes are highly streamlined, reducing friction and manual overhead.

Cross-functional leaders are aligned on AI-first execution, and you drive change with influence and strategy.

Who You Are (Key Competencies)

  • Founder’s Mindset: Scrappy, innovative, and resourceful—constantly pushing for first-principles solutions.
  • AI & Automation Visionary: You don’t just optimize systems—you reimagine how work gets done using AI.
  • Deeply Technical: You design enterprise architecture, dive into Salesforce/Workday/ERP, and even write AI-driven prompts when needed.
  • Strategic Influencer: You can align and drive consensus across senior leaders and highly opinionated stakeholders.
  • Business-Driven Technologist: You start with the "jobs to be done" and architect solutions that drive measurable impact.
  • High-EQ Leader: Strong-willed but emotionally intelligent, able to navigate cross-functional alignment at scale.

Experience & Qualifications

  • 10+ years leading Business Systems, IT, or Enterprise Architecture at a high-growth tech company.
  • Proven experience implementing AI-driven automation in business operations.
  • Expertise in Salesforce, Workday, CPQ, ERP, Finance/HR systems, and enterprise data architecture.
  • Track record of driving cross-functional transformation and aligning senior leadership on execution.
  • Hands-on technical ability—can dive into systems, automate workflows, and drive implementation.

Why Apollo?

  • Work directly with the CEO to shape Apollo’s AI transformation strategy.
  • Build from the ground up—this is an opportunity to create and execute a vision, not just optimize existing systems.

Safe Remote Job Search Tips

Verify Employer Thoroughly

Research the company's identity thoroughly before applying. Check for a professional website with contacts, active social media, and LinkedIn profiles. Verify details across platforms and look for reviews on Glassdoor or Trustpilot to confirm legitimacy.

Never Pay to Get a Job

Legitimate employers never require payment for applications, training, background checks, or equipment. Always reject upfront payment requests or demands for bank details, even if they claim it's for purchasing necessary work gear on your behalf.

Safeguard Your Personal Information

Protect sensitive data like SSN, bank details, or ID copies. Share this only after accepting a formal, written job offer. Ensure it's submitted via a secure company system or portal, never through insecure channels like standard email attachments.

Scrutinize Communication & Interviews

Watch for communication red flags: poor grammar, generic emails (@gmail), vague details, or undue pressure. Be highly suspicious of interviews held only via text or chat apps; legitimate companies typically use video or phone calls.

Beware of Unrealistic Offers

If an offer's salary or benefits seem unrealistically high for the work involved, be cautious. Research standard pay for similar roles. Offers that appear 'too good to be true' are often scams designed to lure you into providing information or payment.

Insist on a Formal Contract

Always secure and review a formal, written job offer or employment contract before starting work or sharing final personal details. Ensure it clearly defines your role, compensation, key terms, and conditions to avoid misunderstandings or scams.
