Introduction:
As a Workflow & Data Coordinator, you will play a key behind-the-scenes role in ensuring that FlyFlat’s Concierge division operates smoothly. You will monitor workflows, maintain data accuracy, and ensure all client-related information is up-to-date across our internal tools.
This role is ideal for someone early in their operations career who is detail-oriented, process-driven, and eager to grow into more strategic operations or systems roles over time.
Responsibilities:
Sales and Strategy Execution
- Monitor Asana workflows for Concierge sub-teams (Concierge L1/L2, Ticketing, Post-Booking) to ensure tasks are completed and documented accurately.
- Oversee data entry processes to ensure all client preferences, booking statuses, payments, and internal notes are correctly recorded.
- Maintain Concierge Portal accuracy, ensuring trip data in the Trips Interface correctly feeds into the Customer Portal.
- Track and update records across internal platforms used from client intake through post-booking.
- Identify and flag inconsistencies, outdated information, or gaps in systems and collaborate with Ops Managers to resolve them.
Process and System Improvement
- Ensure workflow integrity, with clear handoffs and completion markers.
- Proactively surface issues in data consistency and work with the team to resolve them.
- As you gain experience, recommend workflow optimizations that improve operational efficiency and client visibility.
Process Improvement & Brand Development
- Enhance customer service workflows, ensuring a consistently exceptional client experience.
- Improve internal process documentation and training materials to streamline operations.
- Contribute to the growth and refinement of FlyFlat’s luxury travel offerings.
Qualifications
- Strong attention to detail and a passion for keeping systems organized.
- Quick learner with the ability to understand and navigate multiple tools and workflows.
- Comfort in a behind-the-scenes support role within operations.
- Strong problem-solving skills and the ability to spot missing or inconsistent data
Preferred
- Experience with Asana or other workflow/project management tools.
- Background in travel operations or customer service.
- Experience working in a remote, fast-paced environment.

Compensation and Employment Details:
- Total Compensation: $600 - $700 per month depending on experience
- Remote-first position with flexibility, though responsiveness to client and team needs is expected
