Role Overview:
We are seeking a highly organized, driven and proactive Executive Assistant Team Manager to lead our team of Executive Assistants (EAs).
This role is pivotal in ensuring the efficient operation of the firm’s administrative support function, optimizing work allocation, and maintaining high performance levels across the team. The successful candidate will be responsible for managing resources, driving performance improvement, operational efficiency and responsiveness, reviewing and introducing processes, task delegation, quality assurance in service delivery and trouble shooting.
As most of our attorneys are located in the US, the ability to work in alignment to US Eastern Time is required.
Key Responsibilities:
- Supervise and support a team of Executive Assistants across multiple time zones.
- Review and implement resource management strategies and tactics to enhance efficiency.
- Oversee work allocation, ensuring effective and balanced distribution and execution of tasks.
- Monitor and review performance and delivery of service both on collectively and individually
- Continuously review and adjust structure and processes to improve productivity, accuracy and responsiveness.
- Identify and address training and development needs.
- Address performance-related issues promptly and professionally.
- Implement best practices for workflow efficiency and quality assurance.
- Assist in complex projects and coordination across departments.
Qualifications & Experience:
- Proven experience managing a team of Executive Assistants or administrative professionals, preferably within a legal or professional services environment.
- Strong background in process improvement and service delivery excellence, with exceptional attention to detail.
- Excellent leadership, delegation and people management skills, with the ability to motivate and develop teams in a remote setting.
- Exceptional organizational and problem-solving abilities.
- Equally comfortable working autonomously and collaboratively.
- Ability to manage multiple priorities in a fast-paced, global environment.
- Strong communication and influencing skills, both written and verbal, at all levels.
- Highly IT and data literate, with workflow and task management system experience preferred.
- Able to work in alignment with ET hours
