About the Role

We are seeking a highly organized and experienced Executive Assistant to support CookUnity’s CEO and COO. You will be responsible for optimizing their time and energy through exceptional calendar, travel, and event management. This is not just a traditional assistant role—it’s an opportunity to integrate cutting-edge tools and systems to enhance productivity at the highest levels of leadership.

You’ll collaborate closely with an Associate Chief of Staff to drive alignment across time, meetings, and logistics—ensuring that every detail reflects CookUnity’s priorities and pace.

Key Responsibilities

  • Time Management & Productivity Systems
    • Implement and maintain a strategic time management framework designed by the CEO, ensuring time is purposefully aligned with key company goals
    • Use technology and AI tools to streamline scheduling, automate workflows, and improve decision-making
    • Proactively gatekeep and triage calendar requests to protect executive focus, deep work, and recovery time
  • Calendar & Travel Management
    • Coordinate and own all aspects of complex executive calendars across time zones
    • Plan and manage business and personal travel, including itineraries, bookings, visa requirements, and backup plans
    • Track and schedule key recurring events (e.g., board meetings, performance reviews, town halls)
  • Administrative & Personal Support
    • Provide high-touch personal support including family scheduling, errands, and occasional event planning
    • Handle expenses, reimbursements, and light budget tracking with precision
    • Coordinate in-person events, offsites, and team gatherings from concept to execution
  • Communication & Coordination
    • Serve as a liaison between executives and internal/external stakeholders, with discretion and professionalism
    • Maintain alignment with the Chief of Staff on upcoming priorities, initiatives, and handoffs

What You Bring

  • Experience & Expertise
    • 5+ years as an Executive Assistant supporting C-suite leaders, in high-growth preferably tech or startup environments
    • Proven success managing calendars, travel, and priorities for demanding, fast-moving executives
    • Experience implementing frameworks for time management and meeting efficiency
  • Skills & Tools
    • High digital fluency with Google Suite, Slack, Zoom, and AI tools (e.g., ChatGPT, Notion, AI-powered scheduling assistants)
    • Bilingual in Spanish and English
    • Meticulous attention to detail, confidentiality, and service mindset
