We’ve built all of our technology in house including an EHR, patient care admin system, patient portal, website, marketing technology etc. Winona has two compounding pharmacies and a team of in house physicians providing world-class care via a fully vertically integrated business model.
About the role:
We're looking for a highly organized and proactiveCommunications Virtual Assistant to support our outreach and partnership activities. This role requires a detail-oriented multitasker with strong administrative skills and a knack for coordination, research, and documentation. You'll handle everything from managing contact lists and coordinating outreach to tracking responses and supporting campaign execution. Your meticulous documentation will ensure clear visibility across internal teams.

Key Responsibilities:
Support communication and partnership initiatives by managing contact lists, logging outreach activity, tracking responses, and maintaining organized records
Coordinate email outreach and follow-ups for partnerships, sponsorships, and campaigns
Assist in scheduling meetings, preparing internal documents, and supporting contract fulfillment and tracking
Collaborate with content, community, and social media teams to ensure consistent messaging across platforms
Conduct research on partnership, sponsorship, podcast, and event opportunities within the women’s health space
Prepare and update weekly and monthly performance reports summarizing outreach and campaign impact
Monitor and respond to inquiries from shared inboxes, ensuring timely follow-up and accurate documentation
Support both virtual and in-person event coordination and handle associated media logistics
Help maintain internal calendars, content schedules, and communications systems
Qualifications:
Previous experience in communications, partnerships, marketing, or administrative support roles.
Strong organizational and time-management skills with the ability to manage multiple tasks, maintain detailed records, and organize information effectively.
Excellent written and verbal communication skills, with a professional and engaging approach.
Experience with or interest in contributing to a company focused on women's well-being is a significant plus.
Proficiency in Google Workspace (Docs, Sheets, Calendar) or similar productivity tools
Familiarity with social media platforms, analytics tools, and CRM or tracking systems is an advantage.
Proactive problem-solver with attention to detail and a collaborative mindset.
Must be available during core hours of 12 PM to 5 PM EST, with flexibility to adjust as needed
Possess English communication skills at C1 or C2 proficiency level.
