Our client, specializing in offering strategic financial consulting services to mission-driven social enterprises and non-profits, is looking for an organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to the Founders and top-level executives.
Location:
Fully-Remote (Work from Home), 9 AM - 5 PM PST
Role Overview:
As an Executive Assistant, you’ll play an essential role in supporting the founders in both personal and professional projects and tasks. You will also support the operations and marketing team’s day-to-day activities and help the business run smoothly. This position offers an exciting opportunity to contribute to different areas of the business while developing and honing organizational skills.
Key Responsibilities:
Admin and Logistics Support: Provide executive support to founders and high-level executives in the form of personal and professional task management, calendar coordination, logistics support, and general administrative assistance.
Proposal and Contract Creation: Assist with the creation and management of proposals and contracts, ensuring timely and accurate preparation.
Calendar Management: Organize and manage executive schedules, and appointments to ensure smooth operations.
SOPs and Documentation: Develop and maintain Standard Operating Procedures (SOPs) and document business processes to maintain consistency across the team.
Proactive Support: Anticipate the needs of the executives and take on tasks proactively to ensure everything is running efficiently.
Collaboration with Teams: Assist in various areas of the business as needed, providing support for both ongoing operations and special projects.
Secondary Responsibilities:
Minimal Bookkeeping: Handle basic bookkeeping tasks such as invoice creation and liaising with the accounting team for financial tracking.
Qualifications:
Experience: 2+ years of experience in an Executive Assistant or Operations role, or similar administrative support capacity.
Skills: Strong organizational skills and high EQ, with the ability to manage multiple priorities effectively.
Technical Proficiency: Experience with tools such asMonday.com and DocuSign is highly preferred. Basic understanding of bookkeeping in Quickbooks Online is a plus.
Communication Skills: Fluency in English (written and verbal) required; Spanish is a plus.
Problem-Solving: A proactive mindset with the ability to identify areas for improvement and take ownership of tasks.
